How to fill in customers data
Below is a detailed explanation of each customer field in Handy.
- Code: Every customer in Handy must have a unique code. You can use any code you like, whether it’s from your ERP system or a new one you create. Examples: CL0001, MTY005. Codes can include letters and numbers. This field is mandatory.
- Description: The name of your customer as you want your sales team to see it. This field is required.
- Address, City, Zip Code, Neighborhood: Full address information, used to support your salesperson in the field.
- Zone: Zones are used to group customers. You can define them however it makes sense for your business—by region, municipality, neighborhood, or route. Each customer must belong to a single zone. This helps assign customers to salespeople. This field is required.
- Latitude, Longitude: Exact coordinates of the customer. Handy uses these to ensure visits are made at the correct location.
- Person in Charge: Name of the main contact you should visit.
- Phone Number: Contact number of the person you deal with.
- Email: Email address of the contact.
- Comment: Free text field for any additional notes or information.
- Mobile Client: Handy encourages visits to occur at the customer’s location to ensure accuracy. If a customer requests visits at multiple locations, you can mark this as YES or NO. If marked YES, your salesperson can record visits from any location without restrictions.
- Prospect: Use this label for potential customers who are not yet active clients. It helps differentiate between actual customers and prospects. Customers created via the mobile app by your salesperson are automatically marked as prospects.
- Price List: Assign a specific price list to each customer. You can select and assign the appropriate list here.
- Balance: The amount the customer currently owes.
- Credit: Maximum credit allowed for the customer.
- Discount: The percentage discount applied to this customer’s purchases.
- Enabled: If selected, the customer is active—your salesperson can visit, sell, and deliver. If not selected, the customer is hidden from the salesperson and no activity can be performed. In Handy, customers are never deleted; they are simply disabled.
- Category: Allows you to group customers differently from zones. Useful for scheduling visits or targeting surveys more precisely.
- Tax Data: Supporting information for invoicing. Note that Handy does not generate invoices automatically.
- Billable: Indicates whether the customer requires an invoice.
- Creation Date: The date the customer was created in Handy. This field is filled automatically.
- Last Update: The date of the last modification to the customer record. Automatically filled by the system.
- Created By: The user who created the customer in Handy. Automatically recorded.
- Last Updated By: The user who made the last update to the customer record. Automatically recorded.
