User roles
As the administrator of your company or sales team, it's very important that, before starting to use Handy, you read this brief introduction.
Handy is a tool designed to optimize the control of operations in the work field, and it's structured around the user's four main roles.
- Company Administrator
- Inventory Manager
- Supervisor
- Mobile User
There are also more specific roles, depending on your operation:
- Master Data Manager
- Analyst
- Manager
Roles and Functions
Company Administrator
The administrator has full access to all information in the system. They're responsible for creating accounts for mobile users and supervisors. Generally, the administrator works from the web platform, but they're also able to access the mobile app.
Inventory Manager
This role focuses on the management of product availability at the company.
Their responsibilities include:
- Increment inventory with the new products that arrive at the warehouse.
- Assign products to the sales and delivery routes.
- Return unsold or undelivered items into inventory after the daily routes.
It's important to highlight that Inventory Managers cannot create or delete products, nor modify their prices.
Supervisor
Supervisors have a similar role to the Mobile Users, but with greater access. They're able to view their own data, as well as the data of Mobile Users in their area. This role allows for better follow-up and performance management of the team. Supervisors usually work from the web platform.
Mobile User
Mobile Users operate in the field, mainly using the mobile app. They only have access to their own information, which allows them to focus on their own daily tasks and avoid distractions.
Master Data Manager
The Master Data Manager is responsible for loading and updating all of the account's master data.
Their roles include:
- Visualizing and editing the company's data, such as clients, users, areas, prices, promotions, and discounts.
- They don't have access to operational data, such as routes, orders, deliveries, or reports.
- They can see and modify the company's settings, but they don't have access to subscription or invoicing information.
This role is designed for the management, loading, and updating of data.
Analyst
The Analyst's only role is visualization.
They are able to:
- View the company's settings, lists, details, reports, data, and operational activities, but without the option to edit any of them.
- Download client and product information, but they can't upload any files or make any changes through a template.
This role is only for supervising and auditing, not for editing data at any moment.
Manager
The Manager has a role in the initial view, but is more involved in the operation.
The Manager is able to:
- View the company's settings, lists, details, reports, data, and operational activities, but without the option to edit any of them.
- Download client and product information, but they can't upload any files or make any changes through a template.
- Create and edit Mobile Users.
- Create and edit clients.
This role is ideal for supervising the daily operation without having access to modify transactional data.
Creating an Account
To be able to use Handy on a mobile device, you must create accounts for your users. When doing so, Handy will automatically send users an email with the information they need to log in and the link to download the mobile app. Each user will also receive a text message with the same link, giving them the option of how to download Handy.
It's not essential to create an account for supervisors unless you work under a hierarchical supervision structure. If you only have mobile users, you will just need to create the accounts for Mobile Users.
